"Unhappy about how I was treated by..."

1) I have used the practice for years however I was disappointed by the way I was recently treated.

2) I requested for GP's letter, confirming my medical condition etc. The letter had various errors so I complained. Upon my complaint, the charge for the same letter was increased from £25 to £70 without explaining why.

3)Further more, the admin staff threatened to charge me extra each time I sought for the letter to be revised even if the inaccuracies were their fault.

4) I was also asked to make a payment for the letter in advance which is not the normal practice. This was after I complained. According to the normal practice, patients are given the opportunity to check their letters before making payment. More so, no patient is obliged to pay for a letter they are not happy with.

5) They refused to include in the letter the factual information that I pointed out from my medical records without explaining why. The letter was attached with my psychological reports without my consent that way putting me in a position to make unnecessary disclosure. No adequate explanation if any, was given for doing this

6) More so, no adequate explanation was given as to why I was being charged £70 for a letter with information that already existed on the system. In fact I had already paid for the same information /letter in the past.

7) As if that is not enough the letter they were seeking to charge me £70 for was not signed or stamped. I gave them ample time (over 3 weeks) to sign the letter to no avail. I also have evidence that their letters are normally stamped so why was mine not stamped?

8)They also refused to give me a copy of their Policy for writing letters, again no explanation was given.

9) I asked to see the manager and they refused and no apology was given for any of the issues I complained about seen above.

10) I needed the letter for my court case, refusing to give me the letter that I requested prejudiced the outcome of my case.

Dear Patient

I’m sorry you are unhappy with the administrative services you have been requesting. Letters for non-clinical purposes are not part of NHS work and fees are charged for these as they are in almost all GP practices in accordance with BMA recommendations. This is because doctors are completing this work in their own time and not in NHS time and it occupies the time of administrative staff who would otherwise be dealing with NHS work. Please be aware GPs are under no contractual obligation to provide such letters but if they do they are liable for their content. The fees will vary depending on how much detail is required and how much of a doctor’s time is occupied. Regardless of whether information is already available in the records, it can take an enormous amount of time to go through patient records and construct or revise letters and the practice will charge accordingly. Of course if a patient wants to make changes to the content we can make reasonable adjustments without charge however this will not be the case where there are excessive changes and revisions being requested as this is occupying a lot of GP time. Their first priorities are their NHS clinical work. Please also be aware doctors are liable for any inaccuracies in the information they provide and put their signature to and will not put in information they don’t feel is factually correct or cannot confirm to be correct from the information in a patient’s records.
